Duties and Responsibilities:
Eminent Chronicler
Section 7: Eminent Chronicler
Sigma Alpha Epsilon and Tennessee Kappa are built on a foundation of granite. The Eminent Chronicler has the responsibility to ensure that our legacy is noted and recorded. The Eminent Chronicler is also responsible for the information and technology of the chapter. In the early days of Tennessee Kappa, the books in our library housed our information and was our technology. Today, to ensure the high performance of our members and chapter, we need to deliver world-class technology capabilities. The Chronicler is responsible for our current technology needs and ensuring our technology supports the future development of the chapter.
Tennessee Kappa has a strong tradition and should be on display to demonstrate our pride. Our library contains many items that are precious to the tradition of Tennessee Kappa, cannot be replaced, and would be an immense loss if damaged or went missing. The Librarian plays a critical role in this area. Displaying relics of our rich tradition and history is critical to ensure that Tennessee Kappa is attractive to new members and to let our alumni know that we are continuing the excellent tradition. This includes the cleanliness and organization of the library. He is also responsible for maintaining the “periodical” section of the Tennessee Kappa Chapter.
The Eminent Chronicler will:
Manage the Tennessee Kappa website and its contents to ensure that our presence is superior to any other Greek organization on campus and superior to any peer fraternity at any competitive university. Before any notable changes to the website are implemented, first the changes should be approved by the Executive Committee and secondly by the Chapter Advisor to ensure our outwardly facing presence is acceptable.
Keep a fraternity scrapbook of all newspaper clippings, Record news, THE 1808 issues, etc.
Take pictures of Tennessee Kappa events, including fundraisers, mixers, parties, UTK events, and leisure time.
Submit all chapter news concerning active members and the chapter to the National Office.
Be responsible for submitting reward applications to the National Office. Tennessee Kappa will apply for ALL awards for which we qualify. The Eminent Chronicler should be preparing these awards at the start of the spring semester, but should begin collecting material for applications at the start of the year. This material includes articles, photos, etc.
Organize the study area needs within the chapter house to ensure the space is conducive to learning.
Ensure the items in the library are inventoried and protected. The Chronicler accepts personal responsibility for the contents of the library.
Maintain documentation when any item is removed from the library and ensure that item is returned in a reasonable amount of time.
Ensure that any item that cannot be replaced or is of historical value to the chapter is not removed from the library without written approval of the Chapter Advisor and the Housing Corporation Chairman.
Ensure that the data and document storage needs to manage the chapter are sufficient and secure.
Within four weeks of his appointment, propose to the Executive Committee, a plan and budget to ensure the above technology and library support needs are fulfilled.
Ensure the technology needs of the Eminent Treasurer to manage the chapter’s finances are sufficient.
Support the officers and committee needs that require technology to meet the needs of their position.
Not commit the chapter to any contract, whether written or verbal or otherwise, nor has any spending authority whatsoever.
Perform all duties set forth in the National Laws, Title VI, Article 37, Section F.
