Section 3: The Eminent Treasurer
Financial security and stability is of the utmost importance to ensure Tennessee Kappa thrives and is the most competitive. The Eminent Treasurer holds a position of trust – above all suspicion. A failure on the financial side of any organization impacts every member.
The Eminent Treasurer will:
Ensure full compliance with Title IV: Finances, Article II: Fees of these bylaws.
Prepare the annual chapter budget during the summer and first week of the fall term. He will present this budget to the Finance Committee after the second meeting of the fall semester. The budget will include what will be spent on ALL events (including but not limited to band parties, kitchen, payroll, taxes, and extras). The Eminent Treasurer will be responsible for contacting all officers for budgets for various events; if the officers do not turn in a budget to the Eminent Treasurer, he will be required to estimate a budget, so as to minimize funding problems. For events where an officer is not yet elected (e.g. recruitment, Homecoming, Carnicus, etc.), the Eminent Treasurer and Finance Committee will estimate the funds needed.
Be responsible for the general financial activities of the chapter, including all purchases.
Pay all outstanding bills of the chapter by the 15th of each month.
Prepare twelve (12) monthly financial statements, one for each month, and store in a binder in case needed.
Keep and maintain records of the chapter in the manner specified by the Chapter Advisor.
File all tax reports.
Balance all checking accounts monthly and ensure all are staying within their respective budgets.
Ensure all bills are submitted to OmegaFi (or its successor) in time for proper collection.
Serve on the Executive Committee; chair and serve on the Finance Committee.
Ensure that member fines are properly billed and collected.
Be responsible with the Social Chairman for paying bands and security at social functions.
Be responsible for the collection of any accrued past balances.
Post in a public and conspicuous location in the Chapter House and on appropriate internal social media sites, a list of members who are delinquent in their dues and the amount. This should be posted on the 10th day of the month when school is in session during the Fall and Spring semesters.
